How I handle your information.

KDBookworks is operated by Karen Dunford in New Zealand. I take your privacy seriously and handle your personal information in accordance with the Privacy Act 2020.
What I collect
When you contact me through the booking form, I collect your name, email address, business name, and anything you choose to tell me about your business. If you become a client, I also collect financial information necessary to provide bookkeeping services - bank statements, invoices, receipts, IRD information, and payroll data for any staff.
How I use it
I use your information to provide the bookkeeping services you've engaged me for, to communicate with you about your books, to file returns with the IRD on your behalf where applicable, and to keep records as required by NZ tax law.
Who I share it with
I share your information only where necessary to provide my services - with the IRD when filing your returns, with software providers like Xero (which acts as a data processor for your accounting records), and with your accountant if you have one and have authorised the share. I do not sell or rent your data to third parties, ever.
Where I store it
Your accounting data lives in Xero, which stores data in secure data centres operated by Xero Limited. Email and file attachments may be stored in standard business productivity tools (Google Workspace or Microsoft 365). I take reasonable steps to protect your information against loss, unauthorised access, and misuse.
How long I keep it
NZ tax law requires business records to be kept for seven years. I retain client records for at least that period. After that, records may be archived or deleted at my discretion unless you ask me to keep them longer.
Your rights
You have the right to ask what information I hold about you, to request corrections to anything inaccurate, and to withdraw consent for me to hold your information (subject to statutory retention requirements). Email me on kdbookworks@gmail.com to make any of these requests.
